These Terms and Conditions (“Terms”) govern your use of our website [www.converiatravels] and the accommodation booking services we provide. By accessing or using our website and services, you agree to comply with and be bound by these Terms. If you do not agree with these Terms, please do not use our website or services.

1. Acceptance of Terms

By accessing and using our website and services, you acknowledge that you have read, understood, and agree to be bound by these Terms, our Privacy Policy, and any specific booking contract entered into between you and us.

2. Services

  • Our services under these Terms are limited to the reservation of hotel accommodations.
  • Other services we may offer, such as flights, transportation, or event management, are subject to separate agreements and are not covered by these Terms.
  • We are not affiliated with any event, conference, or external organization.

3. Bookings and Payments

3.1 Bookings

  • All bookings are subject to availability and written confirmation.
  • Reservations are not secured until full payment is received and confirmed by us via email.
  • Confirmation numbers are typically provided within seven (7) business days.

3.2 Payments

  • Payments must be made via the secure payment link we provide.
  • Alternative payment methods (e.g., bank transfer, corporate billing) are available only if expressly agreed in writing.

3.3 Cancellations and Refunds

  • Full Cancellations: Allowed only if requested more than thirty (30) days before check-in. A cancellation fee equal to twenty-five percent (25%) of the total accommodation cost will be deducted. This fee reflects services already rendered, commitments made to third parties, and the cost of holding inventory on your behalf.
  • Within 30 Days of Check-In: Full cancellations are not permitted. Only modification requests may be made, subject to hotel approval. Each modification—including date changes, reductions or additions of nights, or reductions or additions of rooms—will incur a fee determined at the time of the request, plus any rate differences and third-party charges already incurred.
  • Refunds: Eligible refunds will be processed within ten (10) to fifteen (15) business days to the original form of payment. Processing times of banks and payment providers are outside our control.

4. Supplier Rules and Restrictions

  • Hotel suppliers may impose their own rules and restrictions. By booking through us, you agree to comply with all applicable supplier rules.
  • We are not responsible for any losses or penalties arising from your failure to comply with supplier terms.

5. Prohibited Activities

You agree not to:

  • Make speculative, false, or fraudulent bookings.
  • Use our website or booking documents for purposes other than legitimate reservations.
  • Copy, modify, or distribute booking forms or related materials without prior written authorization.

6. Indemnification and Limitation of Liability

  • You agree to indemnify and hold harmless Converia Travel, its affiliates, officers, employees, and agents from any claims, losses, or liabilities arising from your breach of these Terms.
  • To the maximum extent permitted by law, our liability for any claim relating to a reservation is limited to the amount you paid to us for that reservation.
  • We are not liable for any indirect, incidental, or consequential damages

7. Force Majeure

We are not liable for delays or failures caused by events beyond our reasonable control, including natural disasters, government actions, public health emergencies, or supplier defaults.

8. Governing Law and Jurisdiction

These Terms are governed by the laws of England and Wales. Any disputes shall be resolved exclusively in the courts of London, United Kingdom.

9. Entire Agreement

These Terms, together with your specific booking contract and our Privacy Policy, constitute the entire agreement between you and us regarding hotel accommodation services. They supersede all prior proposals or communications, whether written or oral.
